ABOUT THE JOB
We are looking for a talented, self-starting office manager for a part-time, hourly, in-person position.
As our office manager, you are critical to keeping the day-to-day operations of our small business going. Your work helps our teams and projects work well, ensuring that we have seamless office support. You will manage the logistics of a busy office space, support our teams, and play a key role in cultivating a positive and productive culture. You will report to the Managing Director of Strategy and Team Development.The successful candidate will be a detail-oriented, proactive project manager and problem solver. They will learn how Hattaway works, and identify ways the office can help us be a more creative and effective team. They will:

  • Take full responsibility for office management to ensure a pleasant and productive work environment, including:
    - Maintaining office supplies;
    - Managing snacks and meal orders;
    - Overseeing office equipment and technology;
    - Ensuring that the office is clean and organized;
    - andCaring for office plants.
  • Maintain contact with building managers and communicate about office operations to the team (updates to procedures or tools, building closures, etc.).
  • Support in-office events and activities, such as client meetings or all-staff in-person retreats, including as-needed coordination, scheduling, and logistical arrangements.
  • Onboard new employees with equipment and office logistics.
  • Provide hardware and software IT support, including:
    - Software: Managing company software subscriptions and settings including full Google Business Suite, Slack, Zoom, Beebole, Adobe Creative Suite, Dropbox, etc.
    - Hardware: Laptop configuration, deployment, and restoring; tracking inventory.
    - Contacting and overseeing external IT support, as needed.
  • Support business development, marketing, and relationship management through use of tracking and management tools (Hubspot).
  • Actively and frequently contribute ideas that lead to improvements in our office management processes.
  • Demonstrate passion for Hattaway in daily actions and actively live out Hattaway values of passion, rigor, and imagination in everyday work experiences.
  • Participate in learning and growth opportunities with the team.

ABOUT YOU

  • Five or more years of related experience.
  • Excellent organizational skills, exceptional attention to detail, and a passion for operations processes and challenges.
  • Excellent written and oral communication skills and advanced administrative skills.
  • Proactive work ethic and a proven ability to plan ahead and anticipate needs.
  • Strong decision-making ability, problem-solving skills, commitment to quality and good judgment.
  • Experience handling a wide range of administrative and project-support tasks, including complex scheduling and travel arrangements.
  • Positive, professional, and collegial attitude.
  • Working knowledge of MS Office (Word, Excel, PowerPoint), Google Mail and Calendar, Hubspot, Apple/Mac proficiency.

This is a part-time, hourly (10-12 hours a week), in-person position. Our local employees come into the office a minimum of 2 days/week, including Wednesday and Thursday, and our office manager would need to come into the office on at least one of those days. Our hybrid approach is based on an intention to tap into the best of both worlds: the spontaneous conversations, deeper relationships, and efficient collaborations that come with working together, combined with substantial flexibility in how we each best use our time and build work into our lives. Our offices are located in downtown Washington, D.C., between the Dupont Circle and Farragut North metro stations.

The salary range for this position is $25-35 per hour depending on experience.
